Article 1 – Scope
These general terms and conditions apply to every offer, quotation, and agreement concerning services (such as guided tours and guiding services) offered by Korei Guided Tours vzw (hereinafter referred to as "Korei"). Any deviating terms and conditions of the customer are expressly excluded, unless otherwise agreed in writing. By booking a service with Korei, the customer confirms that they have read and agree to these general terms and conditions.
Article 2 – Quotations and conclusion of the agreement
2.1 Quotations are indicative, non-binding, and valid for 30 calendar days, unless otherwise stated. A quotation only leads to a binding agreement after confirmation by the customer via Korei's online booking platform Eguide. Korei reserves the right to refuse certain requests or orders without giving reasons.
2.2 The booking is final once Korei accepts and confirms it via Eguide, the booking platform used by Korei.
2.3 For late bookings (less than 10 days before the visit), a supplement of €50 will be charged.
Article 3 – Price and payment
3.1 The price is stated in the quotation. All prices are in euros and include any taxes, unless otherwise stated.
3.2 Invoices are payable within 14 days of the invoice date, unless otherwise agreed. Korei may request an advance payment or full payment in advance.
3.3 In the event of non-payment within the agreed term, the customer shall be liable by operation of law and without notice of default to pay default interest of 7% per month commenced. In addition, a fixed compensation of 15% of the outstanding amount shall be payable, with a minimum of €250.
3.4 Objections to an invoice must be reported in writing or by email within 5 working days of the date of dispatch.
Article 4 – Cancellation and modification
4.1 Compensation for cancellations by the customer to Korei (group bookings):
- For cancellations made more than one month prior to the date of the activity:
- €50 per guide to be canceled for non-profit customers
- €75 per guide to be canceled for profit customers
- 13 to 10 days before the tour: reimbursement of 50% of the invoice amount to Korei
- Less than 10 days or no-show: no refund: 100% of the invoice amount will be charged
Additional costs for canceled reservations with third parties will be charged. Preparation costs already incurred may also be charged. Deviating agreements are possible subject to written confirmation.
4.2 Changes to the booking by the customer:
One change is:
- Reduction in the number of groups
- Change of hour or day
- Change of departure location
- Change of tour/visit
Costs associated with changes:
- Up to 1 month before the tour:
- €50 for non-profit customers
- €75 for profit customers
- No additional administration fee will be charged for adding an extra group to a booking.
- Date changes less than 13 days before the tour are equivalent to cancellation (see Article 4.1).
- If the maximum number of participants per guide is exceeded, an additional guide may be required.
In case of cancellation or changes, the customer will contact Korei by email as soon as possible.
4.3 Cancellation by Korei:
- Korei may cancel a tour in the event of force majeure, insufficient participants, or unforeseen circumstances. In that case, an alternative date will be proposed or the amount will be refunded.
Article 5 – Force majeure
Force majeure is any circumstance beyond the control of a party that prevents the performance of the agreement, such as natural disasters or extreme weather conditions, epidemics/pandemics, spontaneous strikes, war. Announced strikes, rainy weather, and negligence are not considered force majeure situations.
In the event of force majeure, Korei may suspend its obligations or terminate the agreement without compensation. Amounts already paid will be refunded.
Walks can be rescheduled at the request of the customer or Korei when the Royal Meteorological Institute (KMI) issues a code orange warning for the Brussels-Capital Region. In that case, a new date will be set in consultation. There are no additional costs associated with this change.
Article 6 – Liability
Korei is only liable in cases of intent or gross negligence. Korei is not liable for indirect damage. Liability is limited to the amount of the booked service. Participation in guided tours is at your own risk. Korei is not liable for damage caused by third parties or external locations, nor for any accidents that may occur.
Article 7 – Latecomers
Groups that arrive late for their appointment should contact Korei as soon as possible. A guide will wait for latecomers for a maximum of 30 minutes. After the group arrives, they are only entitled to the remaining time of the reserved guided tour.
Article 8 – Code of Conduct
8.1 Participants in Korei tours are expected to behave respectfully and responsibly towards the guide, other participants, local residents, and third parties (such as staff of visited institutions or locations).
8.2 During the tour, participants must strictly follow the instructions of the guide or representative of Korei, particularly in situations that may affect the safety of the group or third parties (such as when crossing streets, entering buildings, or in busy traffic situations).
8.3 If the tour takes place on or near buildings, institutions, or other locations with their own house rules (such as museums, churches, heritage sites, or private grounds and properties), participants undertake to respect these house rules. Korei, the guide, and/or the escort will explain these rules prior to the visit, if applicable.
8.4 The guide and/or group leader reserves the right to deny participants who seriously disrupt order, fail to follow guidelines, repeatedly misbehave, or endanger the safety of the group from (further) participation in the tour and even to terminate the tour. In that case, no refund of the participation fee will be due.
8.5 Children and young people under the age of 18 may only participate in a tour under the supervision of a responsible adult (such as a parent, teacher, or guardian). This accompanying adult is responsible for the behavior and safety of the minor(s) throughout the entire duration of the activity.
Article 9 – Photography and filming
9.1 During Korei tours, photography and filming for personal use are permitted, unless otherwise indicated by the guide or the location visited.
9.2 Taking photos or video recordings must not disrupt the tour. Participants are requested to treat other participants, the guide, and the environment with respect. Flash photography or the use of tripods, drones, or other disruptive equipment is not permitted.
9.3 In certain buildings or locations (such as museums, heritage sites, or private grounds), specific rules may apply regarding photography and filming. Participants are required to respect these house rules.
9.4 Making recordings for commercial or public distribution (such as publication on websites, social media, press, or other media channels) is only permitted with the prior written consent of Korei and, if applicable, the guide(s) and/or location owners involved.
9.5 Korei reserves the right to take photographs or make video recordings during tours for promotional purposes (such as use on the website, social media, or in printed materials). If participants are recognizable in the images, their consent will be requested in advance in accordance with applicable privacy legislation.
Article 8 – Intellectual property
All content on Korei (texts, photos, routes, logos, etc.) is protected by intellectual property rights. Use, reproduction, or distribution without written permission is prohibited.
Article 9 – Privacy
Korei processes personal data in accordance with the GDPR. Data is only used for customer management, administration, and communication. Permission is requested for promotional photos/videos. The customer has the right to access, correct, and delete their data.
Article 10 – Nullity and completeness
These terms and conditions constitute the entire agreement. If any provision is invalid, the remaining provisions shall remain in full force and effect. Failure to enforce any provision shall not constitute a waiver of any right.
Article 11 – Terms and conditions of sale for agenda activities
11.1 These terms and conditions apply to tickets purchased for tours organized by Korei Guided Tours vzw under its own management and included in the public agenda.
11.2 Purchased tickets can be refunded up to a maximum of 15 calendar days before the event. An administration fee of €6 per ticket will be deducted from the refund.
11.3 Tickets may be transferred to another person at no additional cost, provided that the new participant meets any conditions applicable to the activity.
11.4 If measures are taken that make it legally impossible to provide guided tours, or if the institution or location where the guided tour is to take place prohibits guided tours, or if Korei Guided Tours itself cancels a tour, the tickets will be refunded in full.
11.5 The statutory "cooling-off period" (Art. VI.53°12 WER) does not apply to leisure activities on a specific date.
11.6 The guide and/or group leader reserves the right to deny participants who seriously disrupt order, fail to follow guidelines, repeatedly misbehave, or endanger the safety of the group from (further) participation in the tour and even to terminate the tour. In that case, no refund of the participation fee will be due.
Article 12 – Applicable law and competent court
All agreements are governed by Belgian law. Only the courts of the judicial district of Brussels have jurisdiction.
